1. Safeguarding & Child Protection
- All staff and volunteers are DBS checked.
- A Designated Safeguarding Lead (DSL) is always available.
- Concerns about a child’s safety or wellbeing are reported in line with local safeguarding board guidance.
2. Health & Safety
- Risk assessments are carried out for all activities and locations.
- Staff are first-aid trained, with a first-aid kit accessible at all times.
- Clear fire and emergency evacuation procedures are in place.
- Children must wear suitable outdoor clothing and footwear.
3. Behaviour & Positive Relationships
- We encourage respect for people, nature, and equipment.
- Positive behaviour is reinforced through praise and encouragement.
- Bullying, aggression, or discrimination are not tolerated.
- Parents will be informed if behaviour becomes concerning.
4. Medical Needs, Illness & Accidents
- Parents must provide up-to-date medical information.
- Any medication must be provided with written instructions.
- Minor accidents are recorded and parents informed.
- In an emergency, parents and/or emergency services will be contacted immediately.
5. Food & Snacks
- Healthy snacks and drinks may be provided.
- Parents must inform us of allergies or dietary requirements.
- Children are encouraged to eat together in a positive, social setting.
6. Collection & Late Policy
- Children may only be collected by authorised adults.
- A collection password system is used for security.
- Parents must inform staff if someone else will collect their child.
- Late collection may incur an additional fee and repeated lateness may affect placement.
7. Outdoor & Nature-Based Activities
- Children will spend time outside in all weather (except when unsafe).
- Activities may include bushcraft, games, gardening, and nature exploration.
- Children must follow safety guidance during activities (e.g., tool use, fire circle).
8. Inclusion & Equal Opportunities
- We welcome all children regardless of background, ability, or need.
- Activities are adapted to meet individual needs where possible.
- Reasonable adjustments will be made to support children with SEND.
9. Data Protection & Confidentiality
- Information provided on registration forms is kept securely.
- We comply with GDPR and only share information where legally required.
- Parents have the right to access their child’s records.
10. Complaints Procedure
- Concerns should be raised with the Club Leader in the first instance.
- If unresolved, complaints can be escalated to the CIC Directors.
- A written complaints policy is available on request.
